End of Year iPad Procedures – 2016

As we conclude the 2015-16 school year there are a few house keeping items that need to be completed on both your student’s iPads and your own. Please complete the student steps (In order) before the end of the year. Student steps 1-3 can be completed at any time before the end of the school year.

Changes to Student iPads for 2016-17


With the advent of iOS 9.3, several new features have become available for education. An abbreviated version of the changes are below and training will be available in the fall.

  • Students will no longer have access to the App Store. All apps will come through Self-Service.
  • Student will no longer need to create AppleID’s, and will not require AppleID’s to get apps (no more parent permission/setup required).
  • Students will not have access to this year’s iCloud/AppleID next year.
  • You will have access to Apple Classroom to help you manage your classroom.
  • The home screen and dock will be locked and students will not be able to create folders. Apps will be organized alphabetically.

End of the year Student iPad Action Steps


Step 1: Maintenance and Reporting

A. Examine each iPad and report any outstanding software or hardware issues. Items to look for:

  • Volume buttons that don’t work
  • Batteries that don’t hold a charge
  • Screen damage
  • Charging cord doesn’t work or is damaged
  • Damaged ports (i.e., headphone, charging)

B. If you find items needing repair, please report them to Lochlan/Emerson via the HelpDesk (lochlanhelp@westside66.net or emersonhelp@westside66.net).

C. Please look in your carts and around your room for extra chargers and cords. If you have any that are not currently assigned to a device, please bring them to your principals office and deposit in the provided box. We need to re-use these for new students.

D. If you’ve had students in EY or Music that have taken their iPad’s home, please check with each of them and verify the information on the individualized checkout sheet provided to you.

Step 2: Updating to iOS 9

You may want to space this out and have a couple of students per day do the update. Some students may have already updated to iOS 9 by accident. If so, you will see a message stating that the iPad’s software is up to date and no further action on step 2 is required.

A. To update, have the student open the Settings app and tap on ‘General’.

B. Tap on Software Update.

C. You should see an option to update to iOS 9. Tap on ‘Download and Install’ to begin the process. If you receive an error about not having enough space to install the update, check out the Area 66 post about freeing up space (e.g., deleting unused apps, videos, photos): http://area66.westside66.org/ipad-spring-cleaning/ and then try the update again.

D. The iPad will then walk you through the update process.

Step 3: Decide What to Keep and What Not to Keep

Throughout the year, students have been creating learning artifacts on their iPads. If they wish to save files/documents/photos for use next year they will need to back them up. If a student does not want to save their files, they can skip this step. NOTE: saving to iCloud will NOT work. Student’s will not have access to this year’s iCloud documents next year.

Many apps can be moved to Google Drive. Google files (Docs, Slides, Sheets) are automatically backed up. For complete directions, please visit the following Area 66 post:

Step 4: Storing Student iPads for Summer

We have a few new procedures for the end of the school year. Please read them through carefully.

A. After all students have updated to iOS9, please label the OUTSIDE of the iPad case.

  1. Tape a sticky note or 1/4 sheet of paper to the cover.
  2. Have the student’s FIRST and LAST name on it.
  3. Make a note if for some reason you were not able to update the iPad successfully.

B. DO NOT erase the device. Instead, leave it on, close the cover and place in the iPad cart.

C. Please keep your cart in a location that is accessible for Lochlan and Emerson. Do not stack items in front of, or on top of the cart.

D. Lock your cart before leaving for the summer.

Teacher iPad Action Steps


Step 1: Update to iOS 9

Step 2: To Be Completed AFTER July 1

Anytime AFTER JULY 1, please complete the following steps. You will no longer be able to receive apps from Westside until you have performed this step. You will, however, be able to use apps you have purchased on your own. This step will not work until after July 1.

A. Back up any data you would like saved. Many apps can be backed up to either Google Drive or iCloud. Google files (Docs, Slides, Sheets) are automatically backed up. Examples are listed below.

B. Erase Your iPad

1. To completely erase the iPad, tap on the Settings app and tap on ‘General’.

2. Scroll to find the ‘Reset’ button and tap on it.

3. Tap on ‘Erase All Content and Settings’

a. If you have a passcode set, you may need to enter it now.

4. Hit ‘Erase’ and the iPad will be reset and ready for summer storage.

C. Sign back into your iPad using your WCS Login and Password.

If you are not returning next year


If you are a certified staff member and are not returning to Westside next year please complete the following:

  1. Leave your iPad cart key’s with your building principal
  2. You will need to bring all assigned technology to the ABC building for check in. This includes your laptop, laptop charger, laptop case, iPad, iPad charger and iPad case.

If you are a classified staff member and are not returning to Westside next year and have a iPad, please complete the following:

  1. Bring your iPad to your building principal
  2. Verify with him/her that you have turned OFF ‘Find my iPhone’
  3. Verify with him/her that you have signed out of iCloud
